BOOKING TERMS
For passengers, clients and bookers of HK Executive Travel
Version 1.1, 22 August 2026
These Terms and Conditions apply to all bookings made with HK Executive Travel, the trading name of HK TAG Ltd (Company No. 14335906), a private hire operator licensed by Transport for London (11919) and Hertsmere Borough Council (780). By making or confirming a booking, you accept these terms. Please read them alongside your booking confirmation, which together form the contract between us.
1. Definitions
We, us, our: HK TAG Ltd trading as HK Executive Travel.
You, Client: the person or business making the booking, and any passenger travelling under it.
Booker: a person or business booking on behalf of a passenger, including corporate account holders and personal assistants.
Booking: a confirmed request for a journey or period of hire.
Driver: the licensed private hire driver who fulfils the booking.
2. Making a Booking
Bookings can be made through our website, by telephone (020 3725 7634), by email (bookings@hkexecutivetravel.co.uk) or through an agreed account channel. A booking is confirmed only when we issue a written confirmation (by email or message) with the journey details and price. Please check your confirmation carefully and tell us at once if anything is incorrect. As a licensed private hire operator we accept only pre-booked journeys; we do not accept street hailings.
3. Prices, Quotes and Surcharges
Our vehicle classes are Standard Saloon (e.g. Tesla Model 3 or Model Y or similar), Business Class (e.g. Mercedes-Benz E-Class or similar), Business Class Electric (e.g. Mercedes-Benz EQE or BMW i5 or similar), First Class (e.g. Mercedes-Benz S-Class long wheelbase or similar), First Class Electric (e.g. Mercedes-Benz EQS or BMW i7 or similar), Business Van (e.g. Mercedes-Benz V-Class or similar), Business Van Electric (e.g. Mercedes-Benz EQV or similar), SUV (long-wheelbase Range Rover only) and Sprinter (8, 16 or 22 seater, quote only). Electric classes are charged at the same rate and have the same capacity as their standard counterpart. Example vehicles are a guide and we confirm the class booked. The SUV class is the exception: it is fulfilled with a long-wheelbase Range Rover, not an equivalent vehicle.
Prices are quoted in pounds sterling and, unless stated otherwise, are fixed for the journey described in your confirmation. Quotes are based on the information you provide; material changes such as a different route, additional stops, extra waiting, a change of vehicle class or additional passengers or luggage may change the price. Surcharges may apply and, where relevant, will be shown on your quote or confirmation, including airport pickups and drop-offs, night journeys starting between 22:00 and 06:00, bank holidays, meet-and-greet, additional stops and extra luggage. Third-party charges such as tolls, congestion or ULEZ charges, airport drop-off fees and parking may be added where incurred. Prices are inclusive of VAT where applicable; a VAT receipt is available on request.
4. Payment
For individual bookings, payment is taken by card at or before the time of travel, unless otherwise agreed. Account clients are invoiced in accordance with their agreed account terms, see clause 12. We may pre-authorise a card for the estimated fare and any expected additional charges. If a payment fails or is charged back, the amount remains due and we may suspend further bookings until it is settled.
5. Cancellations and Amendments
You may cancel or amend a booking by contacting us as early as possible. The following charges apply, calculated on the quoted fare:
More than 24 hours before the scheduled pickup: no charge.
Between 4 and 24 hours before the scheduled pickup: 50% of the fare.
Within 4 hours of the scheduled pickup, or no-show: full fare.
A no-show is where the passenger does not arrive at the agreed pickup point within the free waiting time allowed (clause 6) and cannot be contacted. Amendments are subject to availability and may change the price. For bespoke, multi-vehicle, event or long-duration bookings, we may agree different cancellation terms in writing at the time of booking.
6. Waiting Time
Free waiting time is included with every booking and begins from the scheduled pickup time. For airport pickups, free waiting begins from the actual landing time where the flight is tracked, please always provide the flight number. After the free period, waiting time is charged per minute at the rate for the vehicle class booked:
Standard Saloon: 5 minutes free (30 minutes free at airports/stations), then £1.15 per minute, £69.00 per hour, plus VAT.
Business Class: 10 minutes free (45 minutes free at airports/stations), then £1.35 per minute, £81.00 per hour, plus VAT.
Business Class Electric: 10 minutes free (45 minutes free at airports/stations), then £1.35 per minute, £81.00 per hour, plus VAT.
First Class: 15 minutes free (45 minutes free at airports/stations), then £1.65 per minute, £99.00 per hour, plus VAT.
First Class Electric: 15 minutes free (45 minutes free at airports/stations), then £1.65 per minute, £99.00 per hour, plus VAT.
Business Van: 10 minutes free (45 minutes free at airports/stations), then £1.75 per minute, £105.00 per hour, plus VAT.
Business Van Electric: 10 minutes free (45 minutes free at airports/stations), then £1.75 per minute, £105.00 per hour, plus VAT.
SUV: 15 minutes free (45 minutes free at airports/stations), then £2.35 per minute, £141.00 per hour, plus VAT.
Sprinter: waiting time is agreed individually as part of your quote (POA); not available for instant online booking.
We monitor flight arrival times where the flight number is provided at the time of booking. Please arrange meet-and-greet if you would like the driver to wait for you inside the terminal.
7. Your Journey
Please be ready at the agreed pickup point at the booked time. The number of passengers and items of luggage must not exceed the safe, licensed capacity of the vehicle booked; we may decline to carry excess passengers or luggage. Children must travel in an appropriate car seat where required by law, please tell us at the time of booking if a child seat is needed. Seatbelts must be worn where fitted and required. Our vehicles are strictly non-smoking, including vaping. Assistance animals are always welcome; please tell us about other animals in advance.
8. Conduct, Damage and Safety
For the safety of passengers and drivers, the Driver may end a journey where a passenger behaves in a threatening, abusive, illegal or unsafe manner, or is unfit to travel. Where a passenger soils or damages the vehicle, a reasonable cleaning or repair charge may apply. We do not tolerate abuse of our drivers.
9. Delays, Force Majeure and Cancellation by Us
We plan journeys carefully but are not responsible for delays caused by events beyond our reasonable control, including traffic, weather, road closures, accidents or acts of authorities. If we must cancel or cannot fulfil a booking, we will tell you as soon as possible and refund any sum paid for that booking. Where we can, we will offer a suitable alternative vehicle or arrangement.
10. Liability
We provide our services with reasonable care and skill. We are not liable for losses that are not reasonably foreseeable, for missed flights, connections or appointments where the delay is outside our reasonable control, or for indirect or consequential loss. Our total liability for any booking is limited to the price of that booking, except where the law does not allow such a limit. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. These terms do not affect the statutory rights of consumers.
11. Lost Property
Please check the vehicle for personal belongings at the end of your journey. We will make reasonable efforts to return items found, and may charge the reasonable cost of returning them. We are not responsible for items left in a vehicle.
12. Account Clients and Bookers
Where a Booker arranges travel for a passenger, the Booker confirms they are authorised to make the booking and to accept these terms on the passenger's behalf. Invoices are payable immediately on receipt, unless corporate or individual account terms have been agreed with us in writing. The account holder is responsible for bookings made under its account, including by its staff, and for cancellation and waiting charges incurred. We can provide consolidated reporting and named-contact service for account clients on request.
13. Data Protection
We handle your personal data in accordance with our Privacy Policy, available at www.hkexecutivetravel.co.uk. In short, we use your booking information only to provide and manage your travel, to communicate with you and to meet our legal obligations, and we share it only with the driver fulfilling your booking and with trusted providers such as our payment processor. We do not sell your data.
14. Complaints
We want every journey to meet our standards. If something falls short, please contact us at bookings@hkexecutivetravel.co.uk or on 020 3725 7634 and we will investigate promptly and respond. Complaints about a licensed private hire service may also be raised with the relevant licensing authority.
15. General
Whole agreement: these terms and your booking confirmation are the whole agreement for your booking.
Changes: we may update these terms from time to time; the version sent with your confirmation applies to that booking.
Governing law: these terms are governed by the law of England and Wales, and are subject to the exclusive jurisdiction of its courts.
